Most businesses assume their problem is missing knowledge. It is usually the opposite: the answer exists, in a policy, a past email, a SharePoint folder and the head of the person who has been there twelve years. Ask a new staff member how a credit hold is lifted, or which version of the safety procedure is current, and watch what happens. They search SharePoint and get sixty files. They ask the person next to them, who asks someone else. They follow a document from four years ago. The knowledge exists; the business cannot get at it.

Knowledge AI is the layer that can. It reads your documents, your intranet, your systems and the notes of the people who hold the rest in their heads. When someone asks a question it finds the relevant passages, writes an answer from them and shows where each part came from. In plain terms it is an assistant that may only answer from your material, cites so a person can check in one click, and says “I don’t know, ask this person” when the answer is not there.

How we build it

A knowledge base built to the five rules of the architecture

  • Knowledge before models. This is the page that rule was written for. The work is deciding what is in, what is out, who owns each source and how it refreshes.
  • Consequence needs a person. The assistant answers questions. It does not approve leave, change a price or promise a customer anything; when a question needs a decision it names who makes it.
  • Integrate, don’t replace. It reads SharePoint, your systems and your document store where they are, and answers inside Teams, Copilot or your website. Nothing is copied into a second place that goes stale.
  • Every action leaves a record. Every answer records the question, the passages used and the sources shown, so you can see what people ask, what could not be answered and which documents need fixing.
  • No vendor is load-bearing. The index, the source map and the permission model are built so the model and search engine underneath can be replaced. Your knowledge base outlives any provider’s roadmap.

Permissions

What it is allowed to see is decided before it is switched on

A knowledge assistant is only as safe as the permissions underneath it. If a salary file has sat for years in a folder everyone can technically open, nobody has found it because nobody has looked. An assistant looks at everything, and it will answer from that file, correctly and disastrously.

So the first task of any knowledge build is to check what the assistant could see, and fix it. Each person gets answers only from material they could already open, and the sources are listed deliberately rather than pointed at a whole drive. How is this different from search?

Search gives you documents and leaves the reading to you. A knowledge base reads them, answers the question and shows the passage it used. It also joins sources search cannot: a policy, a record in a system and a note from an expert, in one answer.

How do you stop it seeing what people should not?

The sources it may read are listed deliberately, and each person’s answers are limited to material they could already open. Before it goes live we check the permissions underneath, because an assistant will find the file that has been wrongly shared for years.

How often does it update?

On the schedule the design sets per source: some documents refresh within minutes of a change, some nightly, some are frozen deliberately. Every source has an owner, and the monthly review under AI Managed shows which ones are going stale.

What if the documents are wrong?

Then it answers from the wrong document, and cites it, which is how you find out. Most businesses discover during the build that three versions of a procedure are in circulation. Fixing that is part of the work, and worth more than the software.
