Voice AI

If you need your phone answered by AI, that is Bea, our sister brand, and this page sends you there in the first paragraph. Voice AI at Be AI is the rest: outbound confirmations and reminders, internal voice assistants for people who work with their hands, and call flows that replace a menu tree with a conversation.

What it does

Voice agents for the calls that are not reception.

Reception is a solved problem and Bea solves it: every inbound call answered, every hour, the message where it should be. What is left is the long list of calls nobody has time to make or wants to take: confirming tomorrow’s deliveries, reminding patients about Thursday, letting a technician on a ladder log the job without climbing down for a tablet.

A voice agent is an AI agent with a phone line and a microphone. It speaks, listens, understands what was meant rather than which button was pressed, and does something with the answer: updates the booking, writes the note, or transfers the call to a person with the context on their screen. Calls run through Be Connect, on telephony that is already yours. Voice is harder than text: people interrupt, have accents the demo never heard and expect a reply inside a second, so the design decides which calls are worth it.

Where it fits

Three kinds of call worth handing to a voice agent

Outbound

Confirmation calls that write the answer back

A physiotherapy clinic or a freight company: the day before, the agent calls to confirm the appointment or the delivery window, writes the answer into the booking system and hands the reschedules to a person. Empty slots are filled while there is still time.

Hands-free

A voice assistant for people who cannot type

An electrical contractor or a warehouse: staff log job notes, check stock, request a part or record a hazard by talking, from the van or the forklift, and the result lands in the job system in the right fields.

Inbound flows

Callers say what they need instead of pressing 3

A regional transport company or a utility: the caller explains the problem in their own words, the agent works out what it is, answers the simple ones from your systems and routes the rest to the right team with the account already open.

How we build it

Voice agents built to the five rules of the architecture

  • Knowledge before models. The agent confirms against the real booking, reads the real stock level and quotes the real policy. The speech model is chosen last.
  • Consequence needs a person. The agent confirms, records and routes on its own. Cancelling, refunding, promising a new date or anything a distressed caller needs goes to a person.
  • Integrate, don’t replace. Calls run through Be Connect on your existing numbers, and the answers land in your booking, job or CRM system. No separate voice platform.
  • Every action leaves a record. Each call is logged with the transcript, what was understood, what was done and where it handed over. Recording is announced; retention is set in the design.
  • No vendor is load-bearing. Speech recognition, the language model and the voice can each be swapped. The call flows, scripts and integrations are documented and yours.

One confirmation call

What the agent does the afternoon before a delivery

  1. 1
The run is readTomorrow’s deliveries pulled from the job system, with each customer’s number and window.
  2. 2
The call is madeThe agent says it is an AI calling from your business and that the call is recorded, then asks whether the window works.
  3. 3
The answer is understood“Yes”, “make it after two”, “I’m away Thursday” and “who is this?” are each handled differently.
  4. 4
The system is updatedConfirmed windows are marked, changes inside the rules are rebooked, everything else is queued for a person.
  5. 5
The dispatcher clears the exceptionsA short list with the transcript beside each one, done before the run is locked.

Questions

What people ask about Voice AI

Is this Bea?

No. Bea is our sister brand, the AI receptionist, and if your problem is the phone ringing we will send you there. Voice AI at Be AI is the calls Bea does not make: outbound confirmations, hands-free assistants for staff and call flows built into your operations.

Does it record calls, and is that lawful?

When the design says to, and the agent tells the caller at the start. A recording is personal information under the Privacy Act 2020, so the design says why it is kept, for how long and who can hear it. Where it is not needed, only the transcript is kept.

What accent and language coverage is realistic?

New Zealand English, including the way people actually say place names, is tested before go-live rather than assumed, and te reo Māori place names and everyday words are in the test set. Conversations in other languages are a design decision, tested with real speakers before we promise anything.

Will callers know they are talking to an AI?

Yes. The agent says so in its first sentence and offers a person whenever the caller asks for one. Pretending is bad practice, and it is the fastest way to lose the trust the call was meant to build.

Every confirmation made, and the answer written back.
